COMPTROLLER'S MEMORANDUM NO. 06 (1993-94)

SUBJECT: INTER-AGENCY MAIL


Comptroller's Memorandum No. 06 (1992-93) encouraged agencies to use the mailboxes in Room LL-22 of the Capitol to the maximum extent possible for mail between State offices in Tallahassee. We continue to see, however, the U.S. Postal Service being used to deliver a large volume of mail within the Tallahassee area. We again encourage each agency to use the mailboxes next to the Transmittal Office to the maximum extent possible, when determined by the agency to be the most efficient and cost effective method of delivery.

In addition, all agencies are requested to instruct their couriers to follow these procedures when utilizing the inter-agency mail facility:

  1. The couriers should take care to distribute all mail to the proper boxes;

  2. Any mail that the courier cannot sort because it does not have a department or agency name or organization number (OLO) included in the address shall be returned to the courier's department for a better address, rather than leaving it in the Transmittal Office area; and

  3. Couriers are to pick up mail from their agency's boxes on a regular basis, preferably at least daily, so that the boxes do not overflow.
